Section 01
Who I Am
JW Business Websites is operated by Jake Wells as a sole trader ("I", "me", "my", "JW Business Websites"), based in the UK and trading at jwbusinesswebsites.co.uk.
I build and host simple, effective websites for small businesses and tradespeople. This Privacy Policy explains how I collect, use, store, and protect your personal data when you visit my website, get in touch about a build, or become a client.
This policy is intentionally thorough, covering every way personal data might be collected or used through this business — even where a particular section may not apply to you.
Section 02
What Data I Collect
I collect personal data in the following ways:
Data You Give Me Directly
- Your name, email address, and phone number when you enquire or commission a build
- Details about your business — what you offer, your pricing, your contact details — so I can write your site's copy
- Any photos, logos, or other files you send me to use on your site
- Payment details when you pay for a build or hosting (see Section 6 for how payment is handled)
Domain & Hosting Details
Where I register a domain name or set up hosting on your behalf, this may include:
- The domain name and any registrant details needed to register it
- Login or account details for services set up to run your site
Data Collected Automatically via the Website
- Your IP address and browser type when you visit this website
- Which pages you visit and how you arrived at the site (if analytics tools are in use — see Section 9)
- Information submitted through the contact form, which is processed by Formspree (a third-party form provider — see Section 6)
Section 03
How I Use Your Data
Your personal data is only used for specific, legitimate purposes connected to running this business:
| Purpose | Lawful Basis | Details |
|---|---|---|
| Building your website | Contract | Writing copy, sourcing content, and building the pages you've asked for |
| Hosting your website | Contract | Keeping your site online and accessible once it's built |
| Taking payment | Contract | To fulfil the agreed price for the build or hosting |
| Responding to enquiries | Legitimate interest | To reply when you contact me before commissioning a build |
| Keeping basic financial records | Legal obligation | HMRC record-keeping requirements for a sole trader |
| Improving the service | Legitimate interest | Understanding feedback and repeat enquiries to run the business well |
Section 04
Lawful Basis for Processing
Under UK GDPR, every use of your personal data needs a lawful basis. I rely on:
- Contract — processing needed to build and host the website you've commissioned, or to prepare a quote at your request
- Legitimate interest — where I have a genuine, reasonable business reason that doesn't override your rights, such as replying to an enquiry
- Legal obligation — keeping financial records as required by HMRC
- Consent — for anything not covered above, such as using a testimonial you've given me with your name attached. You can withdraw consent at any time
Section 06
How Long I Keep Your Data
| Type of Data | Retention Period | Reason |
|---|---|---|
| Client contact and business details | Duration of hosting arrangement + 2 years | Ongoing service, site maintenance, and basic record-keeping |
| Financial/payment records | 6 years | HMRC requirement for sole traders |
| Site content, copy & supplied files | Only while actively hosting the site | Deleted or returned promptly once no longer needed |
| Enquiries that don't lead to a build | 12 months | In case you get back in touch |
| Website contact form submissions | As long as needed to respond, then deleted | Operational necessity only |
When data is no longer needed, it is securely deleted. You can ask for earlier deletion at any time — see Section 9.
Section 07
Your Rights
Under UK GDPR, you have the following rights regarding your personal data. To exercise any of these, contact me directly — see Section 09. I will respond within one month.

How I Keep Your Data Secure
Appropriate steps are taken to protect your personal data against unauthorised access, loss, or misuse:
- This website uses HTTPS encryption for all data submitted through the contact form
- Personal data, including any files or login details you provide, is only accessible to me — there is no team or subcontractor with access to client records
- Payment details are handled by the relevant bank or payment provider directly — full card numbers are never seen or stored by me
- Any account or hosting credentials held on your behalf are kept securely and are not shared beyond what's needed to run your site
Section 10
Children's Data
This website and service are not directed at children, and I do not knowingly collect personal data from anyone under 18. If you believe a child has provided personal data through this site, please get in touch and it will be removed promptly.
Section 11

Changes to This Policy
This Privacy Policy may be updated from time to time to reflect changes in how the business runs, or changes in the law. When this happens:
- The "Last updated" date at the top of this page will be changed
- Existing clients will be told directly if a change materially affects how their data is used
Continuing to use the website or service after a change has been made means you accept the updated policy.
